How far in advance should you plan a group trip?
Short answer
Lock the dates four to six months ahead for a domestic trip and six to nine months for international. Dates are the hardest thing to agree on and everything else depends on them, so settle them first and worry about the itinerary later.
Why dates come first
Every other decision is downstream of the dates. Flights, accommodation, who can actually come — none of it can be settled until the window is fixed. Groups that try to agree on a destination first almost always end up re-litigating it when someone's dates don't work.
Give people a hard yes/no deadline on the dates, not an open-ended poll. Two weeks is enough for anyone to check a calendar.
A realistic timeline
- 6–9 months out: dates and rough budget agreed, destination shortlisted
- 5–6 months out: destination locked, accommodation booked
